In short

Issue a deposit invoice from an accepted quote. On the final invoice, Constrigo automatically deducts each deposit at its original VAT rates.

In brief

Open an accepted quote and click "Issue a deposit". Choose the percentage of the amount excluding VAT: a deposit invoice is created as a draft. Send it to the customer. At the end of the job, convert the quote into an invoice: each issued deposit invoice is deducted automatically, at its original VAT rates.

Issue a deposit invoice

  1. Open the quote with the accepted status, then click "Issue a deposit".
  2. Set the "Percentage of the amount excl. VAT": the "Deposit amount (excl. VAT)" is calculated next to it.
  3. If needed, enter a "Due date (optional)" and edit the "Label".
  4. Click "Issue": the deposit invoice is created with the draft status.
  5. Open it from the quote's "Linked invoices" card, check it and send it to the customer.

If the quote includes several VAT rates, the deposit has one line per rate, pro rata to the quote. Optional lines are excluded and the global discount is taken into account.

The total of the deposits cannot exceed the quote's amount excluding VAT.

Create the final invoice

  1. Check that all the quote's deposit invoices have been sent to the customer.
  2. On the accepted quote, start the conversion into an invoice.
  3. The final invoice includes the quote's lines, followed by a negative "Deposit deducted" line for each deposit and each VAT rate, with the number and date of the deposit invoice.

A deposit invoice that is still a draft blocks the final invoice. Send it to the customer or delete it, then restart the conversion.

Frequently asked questions

Can I issue several deposits on the same quote?

Yes, as long as their total does not exceed the quote's amount excluding VAT. Each one will be deducted from the final invoice.

Why is the conversion of the quote into an invoice refused?

A deposit invoice for the quote is probably still a draft. The message shows its number: send it or delete it.

Which VAT rate applies to the deposit?

The quote's rates. A quote with 10% and 20% VAT gives a deposit with two lines, one per rate, pro rata to the amounts excluding VAT.

Why is the "Issue a deposit" button greyed out?

It requires the permission to convert a quote into an invoice. The button only appears on an accepted quote.
